Permitted Uses
- Meetings
- Training/Educational Events
- Informational/Cultural Events
- Uses include such things as discussion groups, panels, lectures, conferences, seminars, Storytimes, etc.
- Credit Union spaces may not be used for commercial and/or for-profit purposes, such as sales/service demonstrations, as well as religious services or political campaigns.
- By accepting a group’s use of space, the credit union in no way endorses the group, the program content, or ideas represented by the group.
- There may be a charge for use of space.
Reservation of Credit Union Space
All groups wishing to use RTFCU's facilities must submit a Facility Use Request Form a minimum of three weeks prior to proposed date(s). Please note that we cannot put a space on "hold" until a fully executed application has been received. This form may be obtained online through the credit union website (www.rtfcu.com) or in paper form. The completed form will be kept on file.
The credit union requests a 24-hour notice of cancellation for any reservations.
Usage priority
Use of rooms will be assigned on a first come, first served basis.
The following criteria are used to prioritize the schedule of usage:
- RT FCU financial literacy programs
- RT FCU sponsored third-party programs
- Not-for-profit Community organizations and schools
- For-profit organizations
General User Responsibilities and Procedures
- A Certificate of Insurance for any injury or damage to persons or property may be required.
- The credit union will not assume responsibility for the security of items brought by users into the credit union. The credit union will not provide storage of materials for users. The credit union does not assume any liability for groups or individuals attending a function at the credit union.
- Payment for the use of RTFCU spaces and charges for personnel assigned to the event, equipment, and any additional services are in accordance with the pre-established fee schedule. Rates for technical and personnel services are set at the normal work week rate. Rates may vary if personnel services are required outside of normal work hours. RTFCU reserves the right to require a nonrefundable deposit.
- RTFCU invoices for space on a monthly basis. Invoices will be based on actual use and, therefore, will be processed after the date of contracted use. Invoices that are more than 30 days past due will be subject to a 5% late fee and, if account remains unpaid, will be subject to an additional 5% late fee applied quarterly until payment is fully accounted for.
- RTFCU reserves the right to require one or more staff to oversee event logistics at the cost of the space User.
- Use of alcohol, tobacco, and illegal drugs is prohibited on RTFCU property.
- RTFCU reserves the right to review all advertisements of outside groups using space prior to publication. No group will indicate the credit union is a sponsor of the event unless a written agreement is signed by credit union management.
- RTFCU reserves the right to deny the use of its space to any organization whose goals and philosophies are not consistent with the mission of the credit union.
- RTFCU reserves the right to deny the use of its equipment if that equipment or the technicians needed to operate the equipment are unavailable, or if it is not in the best interest of the credit union to do so.
- Prohibited items include the use of open flames, candles, fog machines, hazer machines or any device or mechanism that will generate a spark, flame or smoke of any kind will not be permitted. No loose glitter or small confetti. Any similar items must be discussed in advance with credit union management.
- Refreshments may be served. Usage must be scheduled to end with sufficient time left to clean up areas and return them to their original condition. All groups using space are expected to leave the space in a clean and orderly condition. Users are responsible for any damage to credit union property.
- When the credit union is closed due to inclement weather or emergency situations, ALL events will be canceled, including space rentals.
- Postings and decorations on walls are prohibited.
- In the event there are conflicts among event times, days, or spaces or if there is a need to adjust the schedule of planned events for any reason; conflicts and adjustments will be resolved by credit union management.
- The credit union reserves the right to establish and, when it may be appropriate, amend its policies for the use of its facilities.
- RTFCU reserves the right to deny the use of its facilities, property, and equipment as well as access to any location within its facilities.
